Legal Administrative Assistants – for highly regarded law firm in Washington, DC. These are hybrid roles with 4 days in the DC office, 1 day remote. These roles are part of teams of 3 Legal Assistants supporting several attorneys, providing high-level secretarial/administrative support.
Responsibilities: Coordinate and work together with the team and provide occasional coverage to others when needed. Work closely to mentor, share knowledge, best practices and answer any procedural or policy questions. Provide guidance when necessary. Schedule client meetings, reserve conference rooms, coordinate A/V equipment and food needs via firm scheduling software. Register guests with Security. Coordinate attorney travel arrangements (domestic and international) and prepare travel itineraries; process travel reimbursements, maintain Outlook calendar. Communicate pertinent information with other team members. Monitor incoming emails as directed. Answer phones, direct callers. Type/proofread general correspondence, memos, legal documents, reports in Excel, etc. Prepare draft communication outlined by lawyer as required. Ensure accuracy and clarity of all work product in a timely manner. Utilize iManage document management system as a central repository for all matter related documents. Maintain attorney time in Intapp Time and submit finalized time to Accounting. Participation in the firm Legal Administrative Assistants Certification Program.
Position Requirements: College degree or attendance ideal. Prior secretarial/administrative work experience in a law firm or legal environment. Excellent written and interpersonal communication skills. Attention to detail and ability to multi-task. Ability to prioritize. Ability to maintain confidential information. Ability to manage workflow/delegate, as necessary. Prior experience with iManage Work 10, Microsoft 365, Intapp Time, Intapp OPEN, Chrome River ideal. The salary range is $86k - $108k depending on experience.
Conflicts Research Assistant -REMOTE - for a prominent global law firm client. Candidate must be within commuting distance to an office in Washington, DC, Los Angeles or San Francisco, CA. This position is responsible for researching accurate conflicts reports regarding intake of new business or new hires to the Firm. The hours for this position are 10am to 6:30pm.
Duties include: conducting extensive corporate research using multiple software tools and the internet; liaising with lawyers and secretaries to obtain complete information about incoming work, such as identifying parties and the nature of the matter; and creating appropriate search terms after all corporate and individual names are collected, running searches in the proprietary database and categorizing results for relevance. Composes concise, accurate, and organized reports of research results for attorneys and others. Assists with maintenance of confidential internal database of information about clients and all related parties to specific matters. Flexibility for on-call coverage on weekends and holidays as needed.
Position Requirements: 4-year degree from an accredited college or university, or equivalent combination of education and related experience. Demonstrated attention to detail. Superior writing and analytical skills. Excellent communication, organizational, and interpersonal skills. Demonstrated ability to work well under pressure, prioritize multiple tasks and work efficiently both in teams and independently. Experience with the use of the Internet for serious research. General familiarity with corporate structures. Ability to learn new software quickly. Salary is $57k - $74k commensurate with experience and location.
Client Agreements Advisor - REMOTE - for top tier global law firm. This position is in the Compliance department.**Prior experience working with outside counsel guidelines and fee agreements is ideal. Experience reviewing contracts in a legal setting is required. This is a high visibility role that involves reviewing client agreements according to outside counsel guidelines.
This position is responsible for leading analysis of/response to client terms of engagement. This analytical role ensures that agreements to non-standard terms are consistent, mitigate risk, and to the extent possible reflect business interests of the firm. Candidate will advise and work with the Client Agreements Manager and senior attorneys to manage the review, response and implementation of non-standard terms.
Duties: Develop/maintain knowledge of business policies and practices, legal and ethical considerations, insurance requirements and guidance relating to firm agreements. Assess outside counsel guidelines and other non-standard terms to identify potential issues. Draft internal assessments and proposed approaches based on evaluation. Lead senior attorneys in discussions of issues, considerations, and proposed approaches. Prepare client-facing comments and responses to terms. Coordinate with senior attorneys regarding discussions and negotiations with clients. Respond to due diligence questionnaires. Manage outside counsel guidelines database and share key information with all necessary stakeholders. Conduct extensive research using firm databases, business research resources and discussion with internal subject-matter experts.
Position Requirements: JD required. Two or more years of law firm or equivalent experience in a legal setting. Must have experience in and enjoy reviewing/retaining/comprehending large volumes of information (contracts). Demonstrated ability to process, organize and assess complex information to determine logical conclusions and effective solutions. Demonstrated ability to clearly and concisely synthesize complex business and legal concepts verbally and in writing. Highly developed business research abilities. Strong interpersonal skills to establish close working relationships and simultaneously balance needs and views of different stakeholders. Understanding of the complexities of business and legal relationships in a global economic environment. Salary is $106 – 133k commensurate with experience, + generous benefits package.
