Receptionist/Conference Room Scheduler - for top tier law firm in Los Angeles, California - free parking.** The hours for this position are:

9:00am - 5:30pm Monday - Friday. This is a great opportunity to work for a highly regarded global law firm in their conference services department. This position is responsible for being the "director of first impressions" for the firm and delivering superior customer service to clients and guests. Candidate will answer busy phones and schedule meetings, seminars, lunches and other events.Must be tech savvy with proficiency with Word, Excel and prior database experience. Training is provided on firm scheduling software. Ideal candidate either a seasoned large firm receptionist or a recent grad looking for a career in the conference/hospitality/events field. Typing 40+ wpm required. This is a busy spot requiring strong organizational/multi-tasking skills and excellent interpersonal communications skills. Salary $45k - 65k++plus paid OT and generous employee benefits.

Legal Administrative Assistant – for prominent global law firm in Los Angeles, CA.  *This is a hybrid role.  This position is responsible for administrative support to attorneys in the Bankruptcy practice area.  Duties: Schedule client meetings, reserve conference rooms. Coordinate domestic and international travel arrangements Prepare travel itineraries, monitor, and process travel reimbursements, maintain Outlook calendar, and monitor crucial due dates for attorneys. Revise/proofread general correspondence, memos, legal documents, and reports in Excel. Prepare draft communications. Utilize iManage document management system as the central repository for all matter related documents. Maintain attorney time in InTapp Time and submit finalized time to Accounting.

Position Requirements: High school diploma required. Bachelor’s degree preferred. Prior litigation or bankruptcy experience required. Strong interpersonal and written communication skills. High attention to detail, ability to multitask in a high paced environment, and manage deadlines. Ability to maintain confidential information, manage workflow, and delegate projects. Prior experience using iManage, MS Office, InTapp and InTapp Time, 3E, and Chrome River or similar. Salary $73,000 - $102,000 commensurate with experience.

Senior Legal Secretary/AssistantREMOTE - for prominent law firm specializing in eDiscovery, information management, and data protection. Fully remote role but candidates must go into the office once or twice a month and live within commuting distance to Northern Virginia, Richmond or Washington, DC metro area offices. This role is responsible for supporting lawyers and Advisors in all phases of client engagements.  Candidate will draft/edit legal documents, provide non-legal research, provide cite checking support, process e-Filing in state and federal courts, and track attorney billing.  and function as subject matter expert for proofreading/formatting materials according to Firm style guidelines. Candidate will utilize a digital central filing system and monitor with the idea of continuously improving e-filing standards. 

Duties: Create/modify documents and financial information using Microsoft Office and/or other presentation software or programs. Review, edit, and cite check legal documents. Assist in drafting and editing of client deliverables, including careful review of deliverables for standardization of style and format. File documents electronically in both state and federal courts. Document meeting minutes and interview notes and circulate to client and/or administrative teams for review and finalization. Responsible for projects/special assignments. Coordinate client meetings and coordinate schedules. Provide non-legal research and analyze data to prepare reports and other materials. Preparation of  summary background documents and communications as necessary. Prepare agendas for and attend Firm and other meetings as requested, including recording and distributing meeting minutes. Maintain confidentiality in all aspects of client and staff information. Track billable and non-billable time, expenses, and other administrative tasks.  

Position Requirements: Bachelor’s degree or higher preferred. Paralegal Certificate ideal. Must have at least 7-10 years of experience in the legal field assisting lawyers. Proficiency with MS office, experience with iManage, ShareFile, SharePoint, Teams, and other information sharing platforms. Superior proofreading and editing skills. Proficiency with cite checking using best Bluebook practices. Experience with Westlaw and other legal research tools. Strong organizational skills and attention to detail. Knowledge of court rules and procedures, Knowledge of CM/ECF e-filing system. Attention to maintaining confidentiality in all aspects of client and Firm information Strong sense of urgency and the ability to handle time pressures, anticipating and responding to the needs of internal and external clients while successfully coordinating and prioritizing multiple projects at the same time. Ability to function in a high-energy, fast paced environment and handle multiple tasks in a demanding environment. Experience with Orion Law software or other similar business/accounting packages. Salary 75k – 90k, plus paid OT.

Legal Administrative Assistant – for prominent law firm in San Francisco, CA. *This is a hybrid role with Tu, Wed, & Thurs in office. This role is part of a team of two or three Legal Administrative Assistants.

Duties: Coordinate and maintain efficient workflow for assigned attorneys. The ideal candidate is comfortable in a collaborative and shared workspace. Schedule client meetings, reserve conference rooms, coordinate A/V and food needs. Register guests through reservation software. Coordinate domestic and international travel arrangements, travel itineraries, process travel reimbursements for assigned attorneys. Maintain attorney time in 3E, and submit finalized time daily, Maintain knowledge of client requirements for billing and prepare client billing. Prepare New Business Matters and update list of client/matter codes. Maintain and follow through on all client billing matters.

Position Requirements: Must have at least five years of legal administrative assistant or legal secretary experience. College ideal, not necessary. Strong interpersonal and written communication skills. Ability to maintain confidential information. Proficiency in iManage, MS Office, Elite, 3E, and Chrome River. Salary: $79,100 - $110,000 commensurate with experience. Paid OT, generous benefits offered.
